Wordhouse
An AI assistant that answers 24/7 and books trial lessons
The challenge
Wordhouse teaches English, German and Polish to adults, online and in three cities. Most people look for a course in the evening — after work, once the kids are asleep — exactly when nobody is in the office. Visitors asked the same questions again and again: what’s my level, how much does it cost, can I study at weekends?
By the time a manager replied the next morning, many had already signed up somewhere else. An evening shift just for the chat was too expensive for a school of this size.
What we did
- An AI assistant on every page of the site that replies in Ukrainian and English, in the school’s own friendly tone
- A knowledge base built from the school’s real materials — courses, prices, schedules, teachers, refund rules — that the team updates itself in a simple editor
- A quick level check right in the chat, followed by a recommendation of the right group
- Booking a free trial lesson inside the conversation, with a calendar of available slots
- Every interested visitor becomes a lead in the school’s CRM with a short summary: name, contact, language, level and preferred time
- A smooth hand-off to a live manager for complex or sensitive questions — and an honest “let me connect you with a colleague” instead of made-up answers
The result
- +46% trial lesson sign-ups in the first four months
- 38% of all leads now come in outside working hours
- The assistant resolves about 7 questions out of 10 without a manager
- Response time to hot leads dropped from 11 hours to 9 minutes
Our managers now start the day with a list of people who have already chosen a group and a time. The assistant does the patient part of the job — and never gets tired of questions about prices.
